Amounts such as 1,000.50 or $1,000.50 are accepted. The currency selector labels your inputs; it does not convert them. Fictional examples are USD only and are cleared when you change currency. Rates and volumes stay constant in this model. Taxes, renewal increases, financing, processing, discounts, cancellation and tiered true-ups are not assumed. Add quantified recurring fees in “Other” and document exclusions with the quote.

Compare first-year and three-year funeral software costs
A monthly subscription is only one part of the comparison. Use the same currency, locations, modules and operating volume for both quotes, then read the 12-month and 36-month results together.
- First year: one-time license, setup and migration costs plus 12 months of subscription and extra user fees, and one year of billable case fees, additional support and other recurring costs.
- Three years: the same one-time costs plus 36 months of monthly charges and three years of annual charges. The worksheet holds your rates and volumes constant; it does not predict renewal increases.
- Cost per operating case: divide each period’s total by the operating cases in that period. Operating cases describe your workload; billable cases follow the vendor’s charging rules and may differ.
Why can the lower monthly quote cost more overall?
Higher setup, migration, user or case charges can outweigh a lower base subscription. Compare the full totals only after confirming the same scope and all fee fields. When a charge is blank, the result is a known-cost subtotal, not a complete price: ask the provider before treating it as the cheaper option.

- Ask both vendors to quote the same locations, modules, case volume and migration scope. Enter portfolio-wide costs, not a single location’s rate.
- Separate included users and cases from billable extras. If a fee is included or does not apply, explicitly enter 0 for that field; blank means unknown.
- Confirm renewal increases, volume bands, minimum commitments, support, data export and cancellation charges in writing. This constant-rate worksheet does not model tiered true-ups or an exit event.
- Run a demo with the same workflow and confirm implementation responsibilities. Compare completeness and fit before comparing totals.
Formula: one-time license + setup + migration, plus months × (base + user fee × extra users), plus years × (case fee × billable annual cases + support + other recurring costs).
Totals are pre-tax estimates at unchanged rates and volumes, in one selected currency. No currency conversion, financing, discounts, payment processing, inflation or cancellation fees are assumed. Put additional recurring fees in “Other” only when quantified; document exclusions on your own quote.

How do I compare total cost instead of monthly subscription fees?
Enter each quote’s one-time license, setup and migration costs, then its monthly subscription, extra user charges, billable case fees, annual support and other recurring costs. The worksheet adds these over 12 and 36 months at unchanged rates and volumes. Confirm the same locations, modules and migration scope before comparing totals; a lower subscription alone does not establish a lower total cost.
What if a funeral software quote leaves a charge unknown?
Leave the field blank until the provider confirms it. A blank is not zero: the calculator labels an incomplete result as a known-cost subtotal and lists the missing fields. Enter 0 only when a charge is included or does not apply. Use the quote’s checklist to download questions for the provider; selecting a vendor does not import its prices.
Can I compare software cost per funeral case?
Yes. Complete the cost fields and enter your annual operating cases to see estimated cost per operating case for each period. Keep operating volume separate from each vendor’s billable cases, because included allowances can differ. The result uses your inputs, not a verified supplier tariff.
